Position Objective: 

The Administrative Assistant for Development will be an integral part of the Development team, supporting a wide range of projects with colleagues across the Development Department. They will provide support for a variety of tasks, including data entry, correspondence, invoice processing, project research, and other administrative assignments. The ideal candidate will be highly collaborative, organized, and have meticulous attention to detail.

Primary Responsibilities and Duties:

• Provide general administrative support across the Development Department

• Support donor management and perform donor data entry for special projects

• Support the proper acceptance, recording, processing and acknowledgement of in-kind donations

• Support institutional prospect research efforts and opportunities to remain up to date on corporate and foundation grant opportunities

• Support participation in workplace giving campaigns, including researching new opportunities, completing registrations, and contributing to accurate, thorough campaign record-keeping

• Process invoices and check requests for Development Department expenses and maintain accurate documentation of all requests

• Schedule meetings and provide meeting management support, including coordinating logistics, presentations and reports for department meetings

• Collaborate with team members to plan special department events

• Assist in the maintenance of the departmental fundraising calendar and grant deliverables tracker

• Assist in the maintenance of the PETA Shop inventory tracker

• Provide research and outreach support for special projects

• Organize physical and digital Development files

• Perform any other duties assigned by the supervisor


• Degree in a related field or equivalent experience

• One year (or more a plus) of related experience providing administrative support in a fast-paced environment

• Working knowledge of Microsoft Word, Excel, Outlook, and PowerPoint, as well as a willingness to learn new software

• Experience working with a donor database a plus

• Experience supporting a fundraising team a plus

• Collaborative working style with strong written and verbal communication skills

• Demonstrated time management and organizational skills

• Capable of prioritizing projects, meeting deadlines and multi-tasking

• Proven ability to exercise initiative, independent judgment, and decision making

• Demonstrated ability to handle confidential information with discretion and integrity

• This position requires proof of the COVID-19 full vaccination

• Commitment to ending speciesism and defending the rights of all animals
